Privacy policy
This page is maintained by the Ognico team to explain how the platform handles data. It describes current practices and is not an independent certification or audit.
1. Information we collect
Account data — name, email address and the company you belong to, provided when an account is created or invited.
Business data — the records you enter into the platform, such as products, stock movements, dispatch trips, sales, expenses, customer and rep ledgers, and any files you upload as attachments.
Operational data — sign-in events and basic technical logs needed to keep the service reliable and secure.
2. How we use information
We use your data to operate the platform: authenticating users, displaying your records, generating reports, sending the emails you schedule, and providing support you request.
We do not sell your data, and we do not use your business records for advertising.
3. Multi-tenant separation
Each company using Ognico is a separate tenant. Access rules are enforced on the server so that users can only read and write records belonging to their own company, according to the roles and permissions their administrator assigns.
4. Email and outbound messages
Scheduled reports and notifications are sent to the recipients configured by your company administrator. Where a company supplies its own SMTP credentials, those credentials are stored for the sole purpose of sending that company's messages.
5. Service providers
We rely on infrastructure providers for hosting, database storage, file storage and email delivery. These providers process data only to deliver the service on our behalf. Contact us if you need the current list for a vendor review.
6. Data retention and deletion
Business records are retained while your account is active, because they form your operating and financial history. On written request from a company administrator, we will delete or export your company's data within a reasonable period, subject to any records we must keep for legal or billing reasons.
7. Security
Access to the platform requires authentication, traffic is served over HTTPS, and permissions are enforced per user and per company. No online service can promise absolute security; we ask administrators to manage user access carefully and remove departing staff promptly.
8. Your choices
You can review and correct most information directly in the app. For access, correction or deletion requests that cannot be handled in-app, contact us and we will respond.
9. Changes to this policy
We may update this policy as the product evolves. Material changes will be communicated to company administrators.
